Position Title:                         Brand Marketing & Communications Coordinator

Broad Functions:

The Brand Marketing & Communications Coordinator plays a key role in maintaining and enhancing the brand image of the Hartford Symphony Orchestra, with a focus on digital and print media. The Bushnell Center for the Performing Arts is the designated work location for this position. Success in this position requires local presence and relationship building.

Duties and Responsibilities:

  • Oversees content management of HSO website (hosted on WordPress) including copywriting, editing, and frequent updates.
  • Develops and manages institutional marketing initiatives including emails and social media to create constant and highly visible organizational branding.
  • Creates original and appealing content for the website and all social media platforms, including Facebook, Instagram, and YouTube.
  • Monitors and analyzes social media and website metrics to track performance and engagement, making data-driven recommendations for improvement.
  • Stays current on industry trends and best practices in digital marketing, design, and brand management.
  • Assists with all grassroots marketing, including the creation and maintenance of strategic partnerships with other arts groups, community organizations, and educational institutions in greater Hartford to promote all HSO activities.
  • Writes/distributes press releases and media advisories for HSO concerts and activities in coordination with Marketing and Public Relations Director.
  • Oversees concert and event poster and flyer distribution.
  • Ensures concerts and events are appropriately included in community calendars.
  • Coordinates with internal teams and external vendors to ensure brand consistency and quality across all marketing materials.
  • Processes invoices for Marketing Department.
  • Maintains an on-site presence at concerts and events to support content creation.
  • Serves as staff liaison to affinity groups including Forte! (The Next Generation of Symphony Supporters) and others.

Education, Experience and Skills:
College or technical school degree; 2 years related experience and/or training; or equivalent combination of education and experience.
Professional work history in marketing, particularly in the non-profit arts sector, strongly encouraged
Proficiency in Microsoft Office Software
Familiarity with WordPress and editing
Skills in Adobe Creative Suite and digital marketing
Knowledge of Adobe Creative Suite strongly encouraged
Experience in website management or video editing a plus
Superior time-management skills
Excellent communication and organizational skills
Ability to function in a fast-paced work environment necessary
Ability to work successfully within a team and with external customers is essential
Must demonstrate accuracy and thoroughness and monitor own work to ensure quality

Position Title:              Production Manager

Department:                 Artistic Operations

Reports To:                  Artistic Operations Director

FLSA Status:                Exempt, Salaried

Broad Function:

The Production Manager is responsible for the planning, scheduling, and successful execution of the production elements of all HSO concert activities, run-outs, special events and other presentations.  S/he is further responsible for the overall safety of stage activities for both crew and artists.

Duties and Responsibilities:

  • Collaborate with Director of Artistic Operations and all departments to proactively create and distribute detailed production plans well in advance of rehearsals and performances.
  • Oversee the logistical coordination of all performance related activities, coordinating with library, personnel manager, artistic staff, musicians, guest artists, venues and other departments as warranted.
  • Develop and implement pre-production and production schedules in coordination with the season master calendar, other departments and various venues, and in accordance with Collective Bargaining Agreements.  This includes rehearsals, load ins and outs, IATSE/crew calls and orchestral equipment deliveries.
  • Create and distribute timely and accurate department materials to both internal and external constituents including, but not limited to, IATSE/crew calls, stage plots, equipment lists, production/tech riders, production calendars, guest artist itineraries, and required HSO musician communications.
  • Build and maintain relationships with production vendors, including negotiating trade agreements. Order production elements and ensure they are consistent with the artistic vision for each concert, of the highest artistic level and within established budgets.
  • Evaluate venue suitability for orchestral rehearsals and performances and create a database of available Hartford-local venues.  Establish relationships with venue operators, including negotiating trade agreements and provide detailed, accurate production information to venue staff.
  • Create accurate stage plots for all performances, confirm them with the Director of Artistic Operations and the conductor of each performance, and distribute in a timely manner to appropriate stage staff.
  • Oversee stage personnel and road managers, set-up, changeover and strike of the stage, ensuring safety and accuracy of stage plots and production elements.
  • Coordinate transportation of orchestra equipment as required in collaboration with stage personnel and road managers.
  • Create a budget for and manage scheduling of HSO truck and orchestra equipment maintenance as well as advising on future needs and purchases.
  • Oversee the performance and backstage area, including the cueing and movement of performers, scenic and technical elements, all conductor, orchestra and soloist stage entrances and exits.  Supervise performers and stage personnel during rehearsals. Manage artists’ and conductors’ needs backstage during performances and rehearsals.
  • Plan, budget, and supervise all audition, rehearsal, and performance activities of the orchestra, including but not limited to facility and equipment rental, staging requirements, and other logistical arrangements.  Assist Director of Artistic Operations with department budgeting to maximize cost saving efforts.
  • Provide production support for Learning and Social Impact programs, including working collaboratively with members of the Education and Community Engagement department on the development of staging and technical riders for Discovery programs.
  • Develop a mastery of Collective Bargaining Agreements and provide assistance in the development of new agreements.
  • Identify and develop strategies for producing and presenting digital programs in collaboration with Music Director, Director of Artistic Operations, video and audio production partners, and venues.
  • Manage vendor and artist payments, initiate check request and disbursement in a timely manner, as needed.
  • Provide technical leadership for the annual Talcott Mountain Music Festival.
  • Coordinate auditions and liaise with audition applicants as needed.
  • Help promote positive relationships between the musicians and organization.
  • Other duties as required.

Education, Experience and Skills:

  • College degree preferred and 3+ years’ experience working with theater technical production elements required.
  • 3+ years’ experience in orchestral concert production or similar strongly preferred.
  • Experience working in the field with union employees, i.e., stagehands and musicians desired.
  • Experience creating stage plots with software applications.
  • Proficiency with Microsoft Word and Excel required, experience with Microsoft Office 365, Microsoft Vizio and OPAS preferred.
  • Highly motivated to succeed, goal oriented and able to inspire confidence.
  • Ability to work harmoniously and diplomatically with others with excellent written, verbal, and interpersonal communication skills.
  • Proven leadership qualities and management skills.
  • Familiarity with symphonic repertoire, work environment, and needs of professional musicians.
  • Ability to read music preferred.
  • Ability to interpret and implement labor contracts.
  • Detail-oriented.
  • Ability to balance multiple priorities and work under deadlines.
  • Ability to work effectively and calmly in stressful situations.
  • Excellent problem-solving and organizational skills.
  • Ability to walk up stairs and lift 30 pounds.

The Hartford Symphony Orchestra Internship Program provides a unique learning opportunity for college students and recent graduates interested in pursuing careers in performing arts administration. An internship with the HSO combines the practical application of collegiate studies with invaluable hands-on training and professional experience, and interaction with fellow interns and with staff allow for the creation of valuable contacts for the future.

All internships are unpaid. Candidates should be creative, detail-oriented and professional, and must have a valid driver’s license. Candidates are required to submit a writing sample with the application. Flexible hours, but may require some nights and weekends.

Recent graduates of the Hartford Symphony Orchestra’s Internship Program have gone on to careers at the Dallas Symphony Orchestra, Baltimore Symphony Orchestra, Bushnell Center for the Performing Arts and the Greater Hartford Arts Council. At the HSO, our goal is not only to provide a meaningful internship experience, but to assist in creating a pathway to employment for the next generation of arts administrators and artistic leaders.
