POSITION DESCRIPTION

Position Title: Talcott Mountain Music Festival – Gate Captain
Reports To: Front of House Operations Manager
FLSA Status: Non-exempt, Part-Time Seasonal Employment (5 concert dates)

Job Summary:
This fast-paced job involves providing exceptional customer service, attention to detail, and supervision of volunteer staff for an outdoor summer music festival.
Hours: Employee would need to be available for all concert dates listed below, as well as the rain dates in the event that weather impacts the schedule.

1. Friday, June 29, 2018 (Rain Date Saturday, June 30, 2018)
2. Friday, July 6, 2018
3. Friday, July 13, 2018
4. Friday, July 20, 2018
5. Friday, July 27, 2018 (Rain Date Saturday, July 28, 2018)

Per concert hours would equate to a standard 7.5 hour work day (approx. 3:00pm – 10:30pm).

Essential Duties and Responsibilities: Include the following. Other duties may be assigned.
• Provides welcoming, accurate and timely service to customers attending performances or requiring ticket information. Maintains a high level of customer service at all times including stressful situations, such as when dealing with a large number of customers and potentially complex customer service situations.
• Professionally enforces customer ticketing policies: exchanges, refunds, lost tickets, latecomers, and other relevant patron issues.
• Works with box office to ensure excellent patron service regarding ticketing issues.
• Keeps management informed of customer service issues.
• Performs general administrative duties in order to facilitate accurate and effective operations day of event.
• Professional management of volunteer staff, ability to provide event information and answer event specific questions.

Education and/or Experience:
• High school graduate or equivalent with customer service experience.
• Customer service experience necessary. Must be able to remain calm in stressful situations when interacting with patrons, donors, and co-workers.
• Skills: Attention to detail, and ability to successfully multi-task with multiple priorities. Team player with exceptional collaboration, interpersonal communication, flexibility, positive attitude and problem solving skills.

Position Title: Box Office Representative (Part-time)
Reports To: Box Office Managers
FLSA status: Non-exempt hourly
Working hours: Minimum of 15-20 hours per week (various shifts include – days, weekends, evenings, and holidays)

Broad Functions:
Fast paced job providing exceptional customer service to patrons, involving answering phones, processing ticket orders via phone or with direct public contact, and general office support.

Duties and Responsibilities:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Uses ticketing software program to help patrons with a variety of ticketing-related issues, including but not limited to purchasing, exchanging, researching patron history, and other related functions that arise.
  • Answers questions concerning ticket rates and subscription membership for shows and/or events, and gives information concerning coming attractions, directions and general information.
  • Accepts all forms of payments applicable, including cash-handling, processing and purchasing gift cards, and making accurate change. Also responsible for daily balance sheet of cash received and tickets sold.
  • General office responsibilities
  • Other duties as assigned.

Education and/or Experience:
High school graduate or equivalent, College degree preferred, 2-3 years of related experience

Position Title:  Arts Administration Fellowship
Department: Education and Community Engagement
Reports to: Assistant Manager, Education and Community Engagement
FLSA status: Hourly/Non-Exempt
Working hours: This is a part-time position: at least 19 hours/wk. May include evening and weekend hours

BROAD FUNCTIONS:

Hartford Symphony Orchestra Administrative Fellows will combine their academic knowledge with invaluable interdisciplinary hands-on training and professional experience managing a premier regional arts organization. Fellows will work with multiple departments, maximizing learning opportunities by engaging with several diverse but intertwined facets of artistic administration: Development, Marketing, Production, and Education.

Fellowship duties and responsibilities may include:

Events Assistance

  • Supporting staff, musician and patron needs at special events and receptions
  • Facilitating artist services at concerts, including hospitality and general backstage help
  • Liaising between offsite venue staff, HSO musicians, and audiences at education and community concerts
  • Transporting and executing the instrument petting zoo

Written and Visual Content Development

  • Prepare copy for marketing platforms (social media, press releases, and other grassroots promotions)
  • Create education program teacher and student guides
  • Compile guest artist hospitality packets
  • Write HSO’s pre-concert patron guide (Prelude)

Industry Research

  • Compile database of other orchestras’ programming
  • Track nationwide trends in education department activities
  • Discover funders of other orchestras and performing arts organizations

Administrative Support

  • Update databases, including industry-specific programs such as Raiser’s Edge and OPAS.
  • Maintain company-wide archives
  • Fulfill ticket donation requests
  • Provide care for zoo instrument inventory
  • Attend HSO biweekly all-staff meetings

Perform other duties and specials projects as assigned

Education and/or Experience:

  • Interest in music and the arts.
  • Strong interpersonal skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Creative, with superior writing and verbal communication skills.
  • Ability to work on multiple projects simultaneously, set priorities, and meet short deadlines.
